Job Title: Member Services and Events Manager
Position Reports To: Executive Director
Positions Reporting To: Volunteers, interns, event assistants, other staff (as assigned)
Position Summary: The Member Services and Events Manager develops, supports, and implements membership services, programs, and events. This position works closely with the Executive Director to execute the Chamber’s strategic plan and continually advance the mission of the Greater Old Saybrook Chamber: Commerce – Culture – Community. As an integral member of a small team, this role provides the opportunity to make a significant impact on the Chamber’s members and the communities we serve.
Responsibilities:
1. Membership & Member Services
- Serve as the primary point of contact for members, handling inquiries, onboarding, renewals, and records.
- Manage and maintain the membership database (ChamberMaster/GrowthZone).
- Support recruitment, retention, and engagement through outreach, newsletters, surveys, and follow-ups.
- Coordinate member benefits, including marketing exposure, sponsorship recognition, and networking opportunities.
- Administer Chamber programs such as Job Postings, Hot Deals, Community Calendar, and Member-to-Member discounts.
- Assist in planning and management of logistics for Chamber events, programs, and trainings (e.g., Chili Fest, Arts & Crafts Festival, Golf Tournament, Ribbon Cuttings, Educational Seminars, Networking Events).
- Coordinate event budgets, ticket sales, and sponsorships to help achieve revenue and attendance goals.
- Work with staff to promote events via email, social media, and community outreach.
- Assist in overseeing day-of event operations, including registration, vendor management, volunteers, and troubleshooting.
- Participate in collection and review of feedback to inform future programming.
- Oversee daily office operations, including scheduling, supplies, mail, and vendor coordination.
- Assist in maintaining financial and membership records; assist with invoicing, dues processing, and budget tracking.
- Support the Executive Director and Board with reports, meeting preparation, and compliance documentation.
- Implement process improvements to increase efficiency in operations and communications.
- Greet and assist visitors, residents, and businesses; respond to and fulfill tourist and relocation inquiries.
- Assist in developing and managing a strong roster of volunteers and interns.
- Collaborate with local organizations and partners to enhance community presence and participation.
6. Performs other related duties as assigned.
Qualifications: High School diploma or equivalent, required. Associate’s degree in related field preferred. Prior experience in office administration, customer/member service, or event planning preferred. Not-for-profit or membership organization experience preferred. Proficiency in office software and member management/CRM platforms such as GrowthZone/ChamberMaster, Constant Contact, QuickBooks preferred, Canva a plus.
Must demonstrate exceptional customer service, interpersonal, and communication skills. Must possess strong organizational and multitasking abilities with attention to detail. Creative, adaptable, and collaborative, with the ability to wear multiple hats in a small-staff environment. Must demonstrate a high level of tact and diplomacy; ability to maintain confidentiality. A sense of humor and team-oriented mindset. Must possess presentation skills and be comfortable speaking in front of groups. Must be a self-starter and take the initiative to make recommendations for process improvements and to implement change.
This is a full-time, 40 hrs/wk position with some evening and weekend hours required for events. Paid holidays and Paid Time Off (PTO).
PHYSICAL REQUIREMENTS:
- Position requires reaching, bending, stooping, handling objects with hands and/or fingers, talking and/or hearing, and seeing.
- Moderate periods of sitting at a desk and working on a computer.
- Must be able to lift up to 25 pounds at times.
Salary range: $28.65 – $30.21/hr
This is a Non-Exempt position under the Fair Labor Standards Act
